Zoom has a few platform-specific behaviors that affect how the MeetGeek Notetaker joins and records your calls. This guide covers how joining works by default, which Zoom link formats are supported, and the Zoom settings that can block or delay the Notetaker.

Defaults
By default, MeetGeek joins all scheduled Zoom calls found in your calendar — both meetings you host and meetings where you're not the host. In many cases the Notetaker still needs to be admitted into the call by the Zoom host.
To record an instant Zoom meeting now, copy the join link and paste it into the form on the Upcoming Meetings page or the Chrome Extension.
You can also record Zoom meetings directly from your computer with the MeetGeek Desktop App — no bot required, which is useful if the Notetaker can't join (for example, when Zoom's end-to-end encryption is enabled) or if you simply prefer a bot-free recording.
Note: To disable MeetGeek for all your Zoom calls, select Don't join under Automatic Join on the Settings page.
Zoom link validation
To be recognized by MeetGeek, the join link must be one of the following forms:
Classic and Vanity links: *zoom.us/j/*
Personalized links: *zoom.us/my/*
Branded links: */zoom* or */Zoom*
The following links are not valid:
Zoom webinar links: *zoom.us/w/*
Zoom start links: *zoom.us/s/*
Links copied from the browser after joining: app.zoom.us/wc/*
Zoom webinars aren't supported by the Notetaker, but you can still record them with the Chrome Extension recorder.
The Zoom link must be present in the location, description, or agenda field of the calendar event (or in the email body / text pasted into the ad-hoc form on the Upcoming Meetings page).
Note: If a calendar event contains multiple join links, MeetGeek can't tell which is correct — make sure the event contains only one valid Zoom join link. The extracted Zoom room ID and passcode are validated with the Zoom portal; more on Zoom room IDs and expiry rules here.
How the Notetaker joins, records, and analyzes
Joining the Zoom call
The Notetaker joins Zoom calls as a participant at the scheduled start time. You don't need to join yourself — it joins and records independently. By default, the Notetaker is named after you.
Note: The keyword "MeetGeek Bot" must remain in the Notetaker's name so it can tell real participants apart from bots and correctly detect the end of the meeting. On the Business plan, the name can be customized from the Settings page.
Recording the Zoom call
The Notetaker waits up to 15 minutes for at least one non-bot participant to join before it starts recording. Once recording begins, it posts a recording disclaimer in the chat — your confirmation that recording started successfully. On the Business plan, the disclaimer message can be customized from the Settings page (it has a fixed beginning and customizable content afterward).
Analyzing the Zoom call
Analysis starts once the meeting ends or the Notetaker is removed. During analysis, the meeting appears with an "analyzing" flag on the Past Meetings page.
Note: Occasionally the Notetaker may fail to detect that a meeting has ended if other "bot" attendees in the call were recognized as real participants. If this happens, the Pause button on the Upcoming Meetings page forces the Notetaker to leave and start analysis.
Troubleshooting Zoom settings
The following settings can be changed from the Zoom portal, under the Meeting tab → Security section:
Profile settings: zoom.us/profile/setting
Account settings: zoom.us/account/setting
If you're not the admin of your Zoom account, some settings may be locked or hidden. If a setting isn't listed among your profile settings, ask your Zoom admin to unlock it for you.
End-to-end (E2EE) encryption for meetings (Blocker)
The Notetaker joins Zoom calls from the web client. If End-to-end (E2EE) encryption is enabled, the Notetaker can't join — E2EE requires all participants to join from the Zoom desktop client, mobile app, or Zoom Rooms.
Join from your browser (Blocker)
Because the Notetaker joins from the web client, if Join from your browser is disabled it won't be able to join.
Zoom security options
By default, Zoom requires meetings to have at least one security option enabled.
Waiting Room (Optional)
If the Waiting Room is enabled, the Notetaker is placed in the waiting room when the meeting starts and waits up to 15 minutes to be admitted by the host. If it isn't admitted within 10–15 minutes, it leaves. If it's removed from the waiting room while waiting, it won't retry unless instructed via the control buttons. This may cause a small delay on join time.
Allow participants to join before host (Optional)
If Allow participants to join before host is disabled, the Notetaker waits a maximum of 15 minutes for the meeting to start. If the host doesn't start the meeting within 15 minutes, the Notetaker gives up. This may cause a small delay on join time.
Passcode (Optional / Blocker)
If the Meeting Passcode is enabled, then Embed passcode in invite link for one-click join must also be enabled. If embedding is disabled, attendees have to enter the passcode manually — and the Notetaker won't be able to join.
Authentication (Optional)
By default, the Notetaker joins unauthenticated. Two Zoom settings control whether authentication is required: Only authenticated meeting participants and webinar attendees can join meetings and webinars and Only authenticated users can join meetings from Web client. If either is enabled (see here and here), the Notetaker authenticates when prompted to log in. This may cause a small delay on join time.
Join from specific countries/regions (Optional / Blocker)
By default there's no restriction on the region a participant joins from. However, your organization may have enabled this option to restrict access. If it's enabled, make sure Ireland is in the allowed regions list (or not in the blocked regions list — the second radio button in the dialog). The Notetaker joins Zoom meetings as a participant from Ireland, so it can't join if Ireland is blocked in your organization's Zoom settings.
Allow removed participants to rejoin (Optional / Blocker)
If authentication is required and the Notetaker is removed from the meeting by the host (rather than via the control buttons on the Upcoming Meetings page), by default it can't rejoin that session using the same email address, though it can rejoin a future session. Enable Allow removed participants to rejoin so the Notetaker can rejoin the same session authenticated.
In-meeting security options (Optional / Blocker)
Zoom gives the host several ways to block access to participants during a live meeting.
Note: If the meeting is locked before the Notetaker is admitted, it can't join. And if the waiting room is enabled after the Notetaker was admitted (or it's moved back into the waiting room), the Notetaker stops recording and leaves the meeting.
