How to choose the best plan for your team

At MeetGeek, we offer flexible pricing plans tailored to meet the diverse needs of your team, whether you're a small startup or a large enterprise. In this guide, we'll walk you through the process of choosing the best plan and managing team subscriptions.

Understanding your Meeting Volumes

It's useful to evaluate your current meeting volumes and required retention needs to determine what plans are most suitable. MeetGeek includes Free, Pro, Business, and Enterprise plans, each with its own set of features and benefits. Here's an overview of each one:

  1. Free Plan. Ideal for small meeting volumes or occasional users, the Free Plan offers 5 hours of meeting time per month and 3 months of transcript storage. It's a great way to get started with MeetGeek and explore basic features.

  2. Pro Plan. For teams that need more meeting time and advanced features, the Pro Plan provides 20 hours of meeting time per month and 1 year of transcript storage. It includes additional features such as meeting templates, workflows, and user management to add other team members and stay on top of all your team's subscriptions. Ideal for Consultants, Project Managers, UX Designers, Recruiting

  3. Business Plan. Designed for growing teams and businesses, the Business Plan offers 100 hours of meeting time per month and unlimited transcript storage, along with team creation and a custom bot name. Ideal for executives/founders or customer-facing roles such as Sales, Account Management, or Project Management.

  4. Enterprise Plan. For large enterprises and organizations with high-volume meeting needs, the Enterprise Plan offers unlimited meeting time and a comprehensive suite of advanced features, such as branded emails and organization-wide settings & integrations. Ideal for executive/founders or customer-facing roles with a high volume of calls.

  5. PAYG. If you're worried about exceeding monthly quotas, you can enable an additional Pay-As-You-Go option ($0.5 per extra hour) For Pro & Business plans

Meeting Volumes & Mixing Subscriptions:

To select the best plans, evaluate your team's meeting volume and requirements. With MeetGeek, you have the flexibility to mix and match different subscription plans to accommodate your team's needs. You can also include free users in the productivity process. They will be able to access meetings, be part of teams, or use other MeetGeek features

XYZ Corp Example

Imagine a scenario where a company called XYZ Corp, with 50-100 employees, has multiple teams including Sales, Product & HR. Each team has distinct needs and meeting patterns.

Sales. Ideally, the sales team will be running multiple demos daily. They require access to features like workflows to integrate with the CRM and meeting templates to extract relevant sales insights and KPIs to streamline the sales process. They will likely want to customize the appearance of the notetaker in front of the customer to reflect the company brand and use in-app comments to coach other sales reps. Given the high meeting volume, they can opt for Business Plan subscriptions, with 100 hours of meeting time per month and enhanced retention options.

Product. The product team will likely run multiple status update calls, project planning or review calls with cross-functional teams. They will likely need integrations with Chat, Task Management, or Project management tools. The team chooses subscriptions on the Pro Plan, which offers 20 hours of meeting time per month and 1-year transcript storage. This plan provides them with the necessary features such as automated workflows, and user management to coordinate their projects and keep everyone aligned.

HR & Recruiting. The recruiting might choose a mix of Pro and Business subscriptions, depending on the number of interviews and how the team is organized to take calls. Other members can remain on Free plans so they can collaborate on the candidate profiles and share feedback on interview recordings.

Executives team. The management team is likely to have many external and internal calls so they will opt for Business or Enterprise plans (for branded emails and custom data retention) for each member.

A possible mix of subscriptions for a 50-100-person company could look like this:

  • Sales - 1-2 Enterprises and 5-10 Businesses

  • Product - 3-5 Pros and 3-5 Businesses for Team Leaders/managers, or 5-10 Pros with PAYG

  • Recruiting - 1-2 Pros with PAYG & 1 Business

  • Marketing - 2-3 Pros

  • Executive team - 3-5 Enterprise plans

  • Other XYZ staff - Free plan

Don’t worry if you can’t figure out the exact subscription mix. You can always scale up and down as your business needs change. Designated admins can add, remove, or reassign subscriptions from the MeetGeek web dashboard easily and in line with your company staff changes.

Setting Up a Team Subscription:

Once you've selected the appropriate plan or plans, setting up a subscription for your team is quick and easy. Follow these steps:

  1. Navigate to the 'Plans' Page: Log in to your MeetGeek account and go to the 'Plans' page.

  2. Choose Your Plans: Select the plans you'd like to subscribe to for your team. You can mix and match plans based on the roles and requirements of your team members.

  3. Proceed with Checkout: Once you've selected the plans, proceed to the checkout process to set up your subscription. You'll be guided through the payment process to complete your subscription.

  4. Invite Team Members: After completing the subscription setup, head to the User Management page to invite team members. You can invite users using their email addresses and assign them to the appropriate plans you've subscribed to (available for Pro, Business, and Enterprise plans).
